China Supplier Bank Detail Change Checklist: Before You Pay

Use this China supplier bank-detail change checklist to pause, verify the request and keep the payment instruction connected to the active order record.

A changed bank detail deserves a deliberate review, even when the message looks familiar and the order is moving quickly. The practical goal is not to decide whether a message is good or bad from its appearance. It is to pause, connect the request to the active supplier and order record, verify it through a known contact route, and keep a clear record of what was confirmed before payment is released.

Pause the payment step and identify exactly what changed

Treat a new beneficiary name, account number, bank name, routing code, payment portal or instruction email as a change to review. Do not rush to compare only the account number. Record the message date, sender address or platform account, stated reason for the change, currency, proposed beneficiary and the purchase or invoice reference it is meant to affect. A clear record stops a later reply from becoming detached from the order it refers to.

Start with the current commercial document, not with a forwarded instruction alone. The proforma invoice checklist can help you keep the seller, active product version, quantity, price basis and payment wording in one view. If the document and the new instruction describe different supplier names, currencies, products or versions, label the discrepancy and ask for clarification before treating the payment route as settled.

  • Order, quotation or proforma invoice version being paid
  • Original payment instruction and the requested change
  • Currency, beneficiary name and bank or routing information stated
  • Reason for the change and questions that remain unanswered

Verify through a contact route you already know

Use a known contact route that you established before the change: for example, a saved phone number, an existing platform conversation or a contact record that is already associated with the supplier. Ask the supplier to confirm the exact proposed beneficiary and account details, along with the order reference. Avoid using only a phone number, link or reply address supplied in the change message to perform the verification.

The verification should connect to the business identity you have already been reviewing. Your supplier due diligence checklist may include the commercial name, operating address and responsible quotation contact. If the beneficiary is a different legal name or an intermediary is involved, record that explanation and decide whether further documentary, legal, banking or professional review is needed for your situation. This guide is a practical workflow aid, not banking, legal or fraud-prevention advice.

Keep payment instructions attached to the active product and order

A payment instruction should be reviewed beside the product and order it is intended to support. Match the supplier name, selected product version, variation, quantity, price and currency with the active product specification sheet and commercial record. A correct-looking account detail does not answer whether the order scope, amount or milestone is correct.

When the supplier proposes a new account because of currency, company structure or another operational reason, ask for an explanation in writing and keep the answer with the order file. Separate what is confirmed from what is still proposed. Do not convert a general reassurance into a statement that a product, sample, price, delivery date or payment route has been independently verified.

Use a simple two-person release check where practical

For a business purchase, it can help to separate verification from payment release. One person can compare the instruction with the current order record and document the known-channel confirmation; another can review that record before the payment is initiated. The exact approval process depends on your organisation, bank and payment method, but a visible handoff reduces the chance that urgent wording alone controls the next step.

Do not let an account check replace the remaining purchasing work. Product approval, packaging, quantity, quality points and readiness still need their own evidence. Use the production readiness checklist when your order is approaching a production discussion, and keep any new payment instruction in the same versioned project record rather than in a separate inbox thread.

Record the outcome and decide the next action

Close the review with a dated note: what changed, which known route was used, who confirmed the instruction, what document version was checked and what remains open. If you cannot connect the request to the supplier, order and known contact record with sufficient confidence, do not guess at the next step. Ask the relevant bank, payment provider, legal adviser or responsible person for guidance before acting.
