Completed example

What a clear sourcing brief looks like.

This fictional example shows the level of detail that makes a product reference easier to review. It is not a supplier quote or a real purchase request.

Buyer comparing product samples, a product reference and a sourcing brief near a port

The goal is not to make a long document. It is to make one exact product and its buying context clear enough that a reviewer does not have to guess which version, quantity or requirement you mean.

Outdoor storage case — Canada pilot order

Reference URL: https://example.com/products/outdoor-storage-case

Product reference
Outdoor storage case shown in the selected product link. The link is a design and product reference, not proof of final availability, supplier approval or price.
Required specification
45 L outdoor storage case; polypropylene material; charcoal grey; integrated carry handle; fitted lid; external dimensions must be confirmed before sampling.
Acceptable alternatives
A similar neutral grey tone is acceptable if the material, capacity and lid fit remain equivalent. Do not substitute a different capacity without asking.
Quantity and price direction
Initial order: 500 pieces. Target unit-price direction: up to US$8.50 before freight, subject to the confirmed product specification and quantity.
Destination and timing
Destination: Canada. Buyer would like a sample review before any production discussion and needs an initial timing assessment for a seasonal launch.
Quality, packaging and notes
Confirm lid fit, visible surface finish and external dimensions on the sample. Review carton protection and retail labeling options. Buyer will provide label artwork only after product details are confirmed.

Why this is clear enough to review

The example names the exact product type and distinguishes non-negotiable requirements from flexible details. It also makes the quantity, price basis and destination visible. That avoids treating a single marketplace headline or displayed price as the whole request.

It also labels what remains unknown: external dimensions, supplier availability, commercial terms and final pricing still need review. An honest unknown is more useful than an assumption copied from another variation or page.

Use the same structure for your product

  • Keep the source URL and exact selected product version.
  • State material, dimensions, configuration and standards that cannot change.
  • Separate fixed requirements from acceptable alternatives.
  • Add a precise quantity, unit, price direction and currency.
  • Include destination, timing, sample, inspection, certification, packaging and labeling needs.

For one product, enter the details in the website sourcing request form. For several active product pages on a desktop computer, use the guided Chrome helper pilot and review every field before submission.

Project fit

China Sourcing Team offers sourcing support for product projects from US$1,000, subject to scope review. This is a starting project threshold, not a product MOQ, supplier quote, final price or purchase commitment.
