Packaging and shipping
Build a clear master-carton shipping mark for China orders, separate operational data from regulated labels, and verify the final printed cartons.
A shipping mark helps people identify and route cartons after they leave a supplier. It should connect each carton to the right buyer, order, destination and carton sequence without exposing unnecessary product detail. The useful starting point is a buyer-approved artwork or data table—not a supplier's memory of the last shipment. This guide shows how to prepare that instruction, keep regulated labels separate and verify the finished cartons before collection.

Treat the shipping mark as an operational identifier for the outer shipping carton. A receiving team should be able to connect the carton to the intended buyer or project, order reference, destination and sequence. A freight forwarder or consolidation warehouse may also provide its own reference or warehouse code. Confirm the responsible party and the required format before the supplier prints anything.
Keep the shipping mark connected to your packaging requirements, but do not confuse it with retail artwork, a courier label, a hazardous-goods label or a legally required product label. Those can sit on the same package while serving different purposes. Destination, product and transport requirements vary, so ask the importer, forwarder, marketplace or qualified adviser which mandatory marks and documents apply to the actual shipment.
A concise SKU or model reference is usually easier to match than a long marketplace title. Keep the supplier model, buyer SKU and variation code in your order file, then decide which identifier belongs on the outer carton. If one carton contains mixed variations, define the mixed-carton code and packing list rather than printing a misleading single-SKU mark.
Use the same active identifiers in the product specification sheet, purchase order, carton artwork and packing list. Avoid relying only on a 1688 or Alibaba.com listing name because the listing may be edited, translated differently or reused for several variations. Version the mark artwork when the SKU, destination, carton count or receiving instructions change.
The outer carton may show quantity, net weight, gross weight and carton dimensions when those fields are required for the buyer's workflow. Define the measurement units and whether the figures are per carton. For mixed carton sizes, use the correct values for each carton type instead of repeating one estimate across the whole shipment.
Reconcile these figures with the supplier's packing sheet and your carton dimensions and CBM record. A printed weight is not proof of a measured weight; ask when and how the final values will be checked. If packing changes after artwork approval, require the data and mark to be reviewed again. An outdated carton count can make an otherwise attractive mark operationally wrong.
Handling symbols or wording such as orientation, moisture protection or fragile handling should reflect the agreed packing and transport needs. Do not add a symbol simply because it looks familiar. Confirm its meaning, placement and relevance with the logistics party handling the shipment, and make sure the packaging can actually support the stated handling condition.
A fragile symbol does not replace suitable inner protection, carton strength or a packing test. Likewise, a keep-dry instruction does not make an unsuitable carton moisture resistant. Review the protection method and the outer mark as two connected controls. For regulated, dangerous or temperature-sensitive goods, use the specialist instructions applicable to that product and route.
Ask for a flat artwork proof showing the exact text, codes, symbols, size, colour and intended placement. Check spelling, order number, destination, SKU, carton sequence format and units. State whether the mark is printed directly, stencilled or applied as a label, and specify a readable position that will not be hidden by tape, straps or pallet wrap.
Before collection, request clear photos of at least the relevant sides of a finished carton and compare them with the approved artwork and shipping handover checklist. Where risk justifies it, include the mark, carton count, packing data and barcode readability in a pre-shipment inspection brief. A photograph supports traceability but does not prove that every carton carries the same correct mark.
A practical message could read: 'Please use attached master-carton mark V2 for PO-207. Apply it to two adjacent sides of every outer carton. Use buyer SKU, colour code and sequential carton number in the fields shown. Do not substitute the marketplace title. Send a flat proof before printing and photos of one finished carton before shipment. If carton count, size or packing changes, stop and request revised artwork.' Replace the example references and placement with the requirements confirmed for your shipment.
Attach the mark artwork and packing table to the same project record as the product, quantity and destination.
