A sample or inspection request is most useful when it describes what needs to be checked and why. This checklist helps overseas buyers turn a general quality concern into visible product and packaging checkpoints.

Confirm the sample represents the selected product
First identify the exact model, material, color, dimensions and included parts that the sample should represent. A sample is less useful when its configuration is not connected clearly to the product reference and intended order.
If you have a drawing, prior sample, product photo or known defect to avoid, state what it changes. Keep the reference focused: “confirm lid fit and external width” is more actionable than “make it high quality.”
Define visible and measurable checks
List the aspects that must be observed or measured: material appearance, dimensions, weight, color, assembly, surface finish and included accessories. Where a tolerance or exact measurement matters, provide it rather than assuming it is understood from a product image.
Use photos or a short table to point to a feature when possible. The purpose is to make the requested result repeatable, not to create a vague pass or fail instruction.

Include packaging and labeling early
Packaging can affect product protection, retail presentation and destination requirements. Identify whether you need an inner bag, protective material, carton information, labels, barcode placement or a retail-ready presentation.
If artwork is not ready, say so and identify what is still to be confirmed. Do not assume a marketplace photo reflects the final packaging used for your requirement.
Keep quality checks connected to the project context
A quality checkpoint should be tied to why it matters: a fit check for a replacement part, a surface review for a retail product, or a carton check for a product travelling to a particular destination. This helps prioritize the checks that affect the buyer decision.
Inspection, certification and testing requirements should be described accurately. A submitted request does not itself prove compliance or confirm that a standard has been met.
Add the checklist to your sourcing brief
